Sales Monitor
The sales monitor is an online sales performance tracking app that gives manufacturing companies, FMCG’s and major distributors of big corporate brands full visibility into the activities of their sales force (distributors and sales officers) in the field. It also provides detailed reports of sales across operating locations for the purpose of evaluations, strategy modulations and compensation. These reports can be exported into different formats as required by your organization. The solution is highly bespoke and can be customized to meet your every sales performance requirement.

Your distributors and sales team will have the sales monitor app on their phone or a company assigned phone. The phone is expected to be on and online at all times. The app is made up of 2 parts:

  1. Sales officer module: The sales officer module is used for tracking the activities of sales officers. Such activities include but not limited to visitation tracking, sales ordering, managing market feedback from distributors, surveys etc.
  2. Distributor’s module: The distributor’s module is used for managing distributor relationships. Distributors can place orders, give market feedback, manage accounting and inventory positions etc

Application use cases

The app can be used as a:

  • Monitoring tool: This solution helps to monitor the activities of sales officers in the field as they visit distributors or resume at assigned locations whose co-ordinates are already mapped to the app. The application tracks resumption and closing times for these sales representatives as failure to leave that location or resume is seen as a violation of the company’s rules. As they visit each distributor in their zone, the system clocks those distributors as visited based on the co-ordinates set on the app. It also measures sales officers against set key performance indicators providing graphs of best performing sales officers / teams based on a myriad of set criteria.
  • A survey tool: The app also has a module for conducting live surveys both from a distributor and end user perspective. Sales agents can be sent out to markets and malls to collect data for the products research team. These data are then processed and presented in simple graphical form for ease of analysis and actual product improvement.
  • A feedback management tool: The app can be used to collect valuable market feedback from your distributors and customers by your sales team in the field. Such feedback include but not limited to a competitors competitive edge, what your competitor are doing or not doing differently, why your edge is being sustained, what customers feel about your product etc.
  • An ordering tool: This app allows your sales team to place orders on behalf of your distributors as well as keep track of their sales efforts while reports of these collective sales efforts are seamlessly access by management through the reporting interface.

Back Office Application Feature Summary

Web-Based User Interface

  • The portal is implemented as a single central installation accessible from a standard web browser over the internet
  • In order for back office users to gain access to back office system features, the application requires the users to authenticate themselves using unique and secure username and passwords.
  • The application manages the authentication credential of public users and enforces the configured authentication policy.

 User Role Management

  • This provides functionality for the creation or modification of roles as well as assignment or reassignment of rights to create and modify other roles within the system
  • User roles are defined by assigning functions (activities) that may be executed by each role including but not restricted to Create/Edit, View, Enable/Disable of system entities and the use of certain application features.
  • The application shall be implemented with 2 roles setup by default. The roles shall include “system admin” and “customer”.

 User Management

  • This module provides functionality for the creation or modification of back office user information as well as user assignment or reassignment to predefined user roles on the system.
  • These user roles have fixed access and interactive privileges based on the purpose of each user in the system and according to the functions defined for that user at configuration time.

Approval Management

  • Allows authorized users specify activities that require approval and assigns user roles to approve such activities
  • Enforces that changes to the system specified to require approval are approved before they take effect
  • Allows for changes to be declined thereby preventing them from taking effect

Audit Trails

  • This captures information on every interaction performed within the system
  • This information includes who performed it (user credentials), when it was performed (date/time), what action was performed (create, update, disable), what data was changed as well as the previous state of any data change.

Agent Management

  • This module provides functions that allow the back- office users to create and manage details about an agent.
  • This module provides an interface of assigning agents to store location.
  • This module provides an interface for providing agent clock in and out history and hourly locations

Store Location Management

  • This captures information with regards to the various stores that being monitored
  • This information includes the GPS Location, Name, address, etc.
  • Sends the SMS notification which contains the token the customer would require to perform the transaction.

Product Management

  • This captures information on every product within the system
  • This module provides and interface to manage all related information with regards to the product

Attendance Management

  • This captures information with regards to the clocking in and out time for each agent.
  • It also provide an interface to view agent’s hourly location to keep track of agents movement during working hours

Product Feedback Management

  • This captures information on every transaction done by the agent in their store location
  • This information includes information of the buyer, when it was performed (date/time), store, Amount, Agent information, product information and etc.

Report Management

  • The module shall provide a daily, weekly, monthly report with regards to number goods sold in the week, Top five selling products and stores which will be sent via mail to assigned users.
  • This module shall provide a daily, weekly, monthly report with regards to agent’s average clock in and clock out. Top five agent came late the most, Top five most punctual agent, Top five selling agents which will be sent via mail to assigned users
  • This module provides an interface to generate reports with regards to a particular product, store, agent etc. based on a set of search parameter.

Dashboard

  • This provides an interface that summarizes and displays the agent’s activities in form of graphs.
  • This provides the agent with a snapshot of their various activities.

Clock in Feature

  • This provides an interface for agents to clock in when they get to store location

Clock out Feature

  • This provides an interface for agents to clock out when they about to close

Attendance Monitoring Feature

  • This provides an interface for agents to check in hourly.

Sales Reporting Tool

  • This provides an interface for changes to send in their sales report or feedback.
